How To

Add Your Email Signature

Your signature is generated from your Airtable profile — name, title, photo, phone, NMLS, and social links are all pre-filled. Choose your email client below for step-by-step instructions on copying it in so it looks polished in every email you send.

Before you copy: make your photo square

Every template shows your headshot as a small square, and email clients stretch whatever shape you give them — so a rectangular photo comes out squished. Go to My Profile, click your photo, and drag the crop tool to frame your face inside the square, then save. The crop is applied to the photo itself, so it stays sharp everywhere it's used.

Instructions for Gmail and Microsoft Outlook.

One-click copy

The Copy Signature button copies the formatted signature for you — no HTML files or code needed. Just paste it straight into Gmail.

1

Select a template

On the Email Signature Creator page, click Select Design on the template you like (Classic, Modern, Dark, Ops Simple, MLO Simple, or Social). Your profile info fills in automatically.
2

Scroll to the full preview

After selecting, a larger full preview appears below the three template cards. This is your signature, fully rendered with your photo, name, and links.
3

Click Copy Signature

Click the Copy Signature button under your chosen template. That copies the fully formatted signature — photo, colors, and links included — so you don't need to select anything by hand.

Don't copy the HTML code — that pastes as plain text in Gmail. The button copies the formatted version for you. If your browser blocks the automatic copy, a window opens showing the signature: click Select all, press Ctrl + C (or Cmd + C), then paste into your email client.

4

Open Gmail signature settings

Open Gmail in your browser. Click the gear icon (top right) → See all settings → make sure you're on the General tab → scroll down to the Signature section.
5

Create a new signature and paste

Click Create new, give it a name (e.g., "ReNew Signature"), then click in the large text box and paste:
  • Windows: Ctrl + V
  • Mac: Cmd + V
You should see your formatted signature appear in the box with your photo, colors, and links intact.
6

Set as default and save

Under Signature defaults, select your new signature for new emails and replies/forwards. Scroll to the very bottom and click Save Changes.

Tips & Troubleshooting

Photo not showing? Email clients sometimes block images on first send. Send yourself a test email — the photo loads when the recipient opens it.

Profile changed? Your signature updates automatically from Airtable. Just come back to the Signature Creator, copy the refreshed version, and paste it into your email client again.

Use the Copy Signature button — it copies the formatted signature for you. Pasting raw HTML code into Gmail shows up as plain text, so let the button do it.

Outlook desktop pastes as plain text? Use the Copy Signature button (not a manual copy of the code). Outlook's editor needs formatted content to keep your colors and photo.

Photo looks stretched or squished? Your headshot needs to be square. Open My Profile, click your photo, and use the square crop tool to reframe it — then come back and copy your signature again.

Send a test email to yourself after saving to confirm everything looks right before using it with clients.
